What would be the best way to back up a large number of paper files ? There is easily 200 or more files.? Get an ADF scanner (a scanner with an automatic document feeder). You can save the electronic files as .tif, .pdf, or .mdi. Get scanning! Seriously, I scan all documents as I receive them and have over 3,000 files on disk (and backed up on DVD) Not only are files saved permenantly and available for reproduction at any time, the information they contain is two clicks away whenver I need it rather than a clumsy paper filing system Scanning them. Now if your office can afford it there are several companies that will scan all the paperwork in way less time then it will take you to do it and some charge you a flat fee or a per 100 pages fee. If you end up scanning everything by hand save them as PDF files to CDs and make back files on everything. You don't want to do this again! Get Adobe Acrobat Professional - you can scan your documents into pdf files, and it has OCR capability (optical character recognition, which allows you to copy & paste text from the pdf file into another file). Available at any software/computer retailer, or at adobe.com. Put it on a flash drive. |
